The Role

As the Executive Assistant to the CEO, you will be at the heart of organizational efficiency, managing a spectrum of responsibilities. Your calendar management will ensure seamless scheduling, while meticulous meeting preparation keeps the CEO well-informed. Navigating emails, calls, and drafting communications with priority will be second nature. From coordinating travel logistics to overseeing household management, you'll handle diverse tasks with finesse. Serving as a liaison, you'll bridge communication between the CEO and internal/external stakeholders, while also spearheading special projects and maintaining the utmost discretion with sensitive information. Strong organizational, interpersonal, and managment skills are crucial, and your proactive approach will anticipate and meet the CEO's needs seamlessly in this dynamic role.

Key Responsibilities

• Calendar Management: Organize, prioritize, and coordinate CEO’s calendar, ensuring efficient scheduling of meetings, conferences, and teleconferences.
• Meeting Preparation: Prepare agendas, documents, and necessary materials for meetings; ensure the CEO is fully briefed on daily commitments and responsibilities.
• Correspondence Management: Manage, screen, and prioritize daily emails and phone calls; draft letters, emails, and other communications as directed.
• Event Coordination: Organize corporate events, including board meetings, team building events, and other company-related activities.
• Travel Arrangements: Handle all travel logistics, including booking flights, hotels, and ground transportation; create detailed travel itineraries.
• Expense Reports: Track and submit CEO’s monthly expenses, ensuring accurate and timely reporting.
• Liaison: Act as the point of contact between the CEO and staff, clients, and other external partners.
• Project Management: Oversee special projects assigned by the CEO, ensuring they are completed in a timely and efficient manner.
• Personal Appointments: Manage and schedule personal appointments, including medical, wellness, and other personal commitments.
• Household Management: Oversee household staff and vendors, manage schedules, and coordinate household repairs or maintenance as needed.
• Personal Shopping: Assist with personal shopping, gift purchasing, and other related tasks as required.
• Family Support: Coordinate family-related schedules, travel, and events when necessary.
• Personal Correspondence: Assist with sending out personal invitations, thank you notes, and other personal communications.

Qualifications
• Excellent organizational and time management skills.
• Ability to handle sensitive and confidential information with the utmost discretion.
• Strong interpersonal and communication skills.
• Proficient in Microsoft Office Suite, and comfortable with various tech platforms and tools.
• A proactive approach, anticipating the needs of the CEO before they arise.
